The barcode is displayed on the back of the folder. You do not have to enter the full barcode including the $ sign when entering the barcode in the Barcode field on the Files screen. Simply enter the number and Versatile will automatically reformat it.

Entering Additional Description
The Extended Description tab in the Files screen will no longer be used because its contents are not searchable. Instead, on the Main tab, click on the purple down arrow on the description line. On Line 5, enter any additional information (or further down if there already is additional information). It will be searchable.

"LABEL" - Use "label" in the Folder Size field of Versatile whenever you want a label only. If a staff member or student has a name change, use "label" to get a new label for your file folder.

Directions:

  1. Find record and make changes.
  2. Take check mark off Label Printed field.
  3. Change Folder Size under User Defined Tab (top of screen) to Label.
  4. When finished, hit Update button then Print Label button (only if you want a new label).

Quotes - DO NOT use quotes in the Versatile description lines. If you need to set something apart (e.g. nickname) use parentheses instead.

An annual file is a file that is automatically generated each year in Versatile Enterprise. Having a checkmark in this box will produce another file folder that is an exact duplicate of the old record, only with a different barcode and the new fiscal year. Any records that are checked will be included in annual file generation, which takes place in June.

Searching from Files Screen
This search only searches files. You can pull up an existing record and use as a template. Sometimes referred to as "cheating". The wild card for searching is an asterick (*). Place quotes around the whole search. For example, to search for Cindy (spelled with a "y" or an "i"?), type in "cin*" and you will find everything that starts with "cin".
